Construction Payment Management Software
Construction payment management software is a tool that lets a builder track and record payments to vendors and subcontractors against approved bills, deduct TDS correctly under Section 194C, release retention when it is due, and keep the vendor ledger current. Cornerstone AI takes an approved, matched supplier invoice, computes the net payable after TDS and retention, records the payment, and exports it to Tally, so what goes out always matches what was approved. When you want to know what is due this week or how much TDS you deducted this month, ask the GenAI chat.

The payment flow, from approved bill to recorded payout
Cornerstone AI’s construction payment management software moves every payment through the same controlled path, so the vendor is paid the correct net amount, TDS is deducted, retention is held, and the books stay in sync.
Start from approval
Pick an approved, 3-way matched supplier invoice to pay.
Deduct TDS
TDS under 194C is computed on the eligible amount.
Hold retention
Any contract retention is deducted from this payment.
Net payable
The clear net figure is what the vendor is paid now.
Record & post
The payment updates the ledger and exports to Tally.
No technical experience needed
Making a payment is picking the approved bill and confirming the net the software has already worked out. The TDS and retention are computed for you, so your accounts person does not do the maths by hand or risk deducting the wrong rate. And when the owner wants to know what is due this week or the TDS for the month, they do not open a ledger. They ask the GenAI chat.
What is TDS under Section 194C on contractor payments?
Section 194C of the Income Tax Act requires a payer to deduct TDS, tax deducted at source, when paying a resident contractor or subcontractor for work under a contract. The deduction is made at payment, deposited with the government, and credited to the contractor. For a construction firm paying dozens of subcontractors, getting this right on every payment matters.
✓ The rate
- 1 percent when the payee is an individual or HUF
- 2 percent when the payee is any other entity
- Deducted on the contract amount at payment
- Deposited with the government on the contractor’s behalf
✓ The threshold
- Applies when a single payment is over Rs 30,000
- Or when yearly payments to the party cross Rs 1 lakh
- Below these, TDS is generally not required
- Rules and rates can change, so confirm the current ones
Why the software should handle this, not a person
Deducting TDS by hand across many subcontractors invites two errors: the wrong rate, and missed thresholds. Both cause trouble at return time. Cornerstone AI computes the 194C deduction on each eligible payment at the correct rate and flags when a party crosses the annual threshold, so the deduction is consistent and the records are ready for your TDS return. The figures here are general guidance, and your final tax position should be confirmed with your accountant or advisor.
How the net payable is calculated
The amount a vendor is actually paid now is rarely the full invoice. It is the approved amount, less the TDS due, less any retention held under the contract. Cornerstone AI shows every step, so the net that goes out is clear and defensible.
Approved amount
The invoice figure that passed the 3-way match and approval.
Less TDS
The 194C deduction at the right rate for the payee.
Less retention
The contract retention held back on this bill.
Net payable
The clear amount the vendor is paid in this payment.
One screen, no disputes
Because the gross, the TDS and the retention are all shown on the way to the net, the vendor sees exactly why the payment is what it is. There is no “why is this less than my bill?” argument, because the deduction is itemised and tied to the rule or the contract clause behind it. The approved invoice drives it, so the payment can never quietly exceed what was signed off.
See the construction payment flow, step by step
Here is a real payment. A subcontractor’s approved bill on the “Marina Residency” villa in Chennai, from net calculation to a recorded payout.
Start from the approved bill and deduct TDS
The tiling subcontractor’s bill for Rs 3.78 L has been 3-way matched and approved. The subcontractor is a partnership firm, so TDS under 194C applies at 2 percent on the work value. Cornerstone AI computes Rs 6,400 TDS automatically, so there is no guesswork about the rate and no risk of under-deducting.
Hold retention, see the clear net
The contract holds 5 percent retention on the subcontractor’s work, so Rs 18,900 is retained from this bill and tracked for release later. After TDS and retention, the net payable is Rs 3.53 L. The subcontractor sees the gross, the TDS, the retention and the net on one statement, so there is nothing to argue about.
Record the payment, update the books
The net is paid through the firm’s bank, and the payment is recorded against the subcontractor and the project. The vendor ledger updates, the TDS entry is captured for the return, and the whole payment exports to Tally. The retained Rs 18,900 sits on the record, ready to release at the defect-liability stage.
Just ask, and the GenAI chat reads your payments
Alongside the normal payment screens, the built-in GenAI assistant lets anyone ask about dues, TDS and retention in plain English. No ledger to open, no report to build.
| Sri Steel | Rs 4.2 L · Thu |
| Tiling subcon | Rs 3.53 L net · Fri |
| Sand supplier | Rs 1.1 L · Fri |
No ledger to open. Just type the question.
Every Cornerstone AI module can be run the normal way, with forms, lists and a payment register. On top of that, the GenAI chat lets you ask about payments in plain language. Ask “what is due this week?”, “how much TDS this month?”, or “whose retention is due for release” and the assistant reads your live payment data and answers in seconds, with a table when that helps.
That means an owner can plan cash and check compliance, from a phone, without opening a single ledger. They just ask. It is what makes Cornerstone AI usable by a whole team, not only the accountant.
The GenAI chat is a core Cornerstone AI capability, implemented within the application. Examples shown are illustrative of how it answers.

How retention is held and released
Retention is a small percentage of each subcontractor bill held back as security, released later once the work has proved sound. It protects the builder, but only if it is tracked, because retention that is forgotten is money owed that nobody releases and relationships that quietly sour.
Held on every bill
When a subcontractor bill is paid, the contract retention, often 5 percent, is deducted from the net automatically and recorded against that subcontractor. The subcontractor sees it clearly on the payment statement, so there is no surprise about why the payout is less than the bill.
Accumulated and visible
Retention builds up across every bill a subcontractor raises, and the running total is visible on their ledger. At any point you can see exactly how much is being held from each party, which matters both for the builder’s cash position and for an honest conversation with the subcontractor.
Released when due
At the agreed stage, often at project completion or the end of the defect-liability period, the retention is due for release. Because it is tracked rather than buried, the release is flagged and paid against the same vendor record. The subcontractor gets what is theirs on time, which is exactly how good subcontractors are kept.
What’s broken in paying vendors on a spreadsheet, and how Cornerstone AI fixes it
These are the real problems builders hit managing payments on a spreadsheet and memory. Cornerstone AI’s construction payment management software was built against each one.
⚠️ With spreadsheets & memory
- TDS deducted at the wrong rate, or missed
- Thresholds crossed without anyone noticing
- Retention held but never released
- Payments made that exceed the approved bill
- No clear view of what each vendor is owed
- Every payment re-entered into Tally by hand
✓ With Cornerstone AI payments
- TDS computed at the right 194C rate every time
- Annual thresholds flagged automatically
- Retention tracked and released when due
- Payment can never exceed the approved amount
- A live vendor ledger of owed, held and paid
- Payments exported to Tally with TDS intact
These pain points reflect widely reported problems with manual construction payments. See the Income Tax Department (TDS) on Section 194C and PMI on cost control. This page is general information, not tax advice. Content was rephrased for clarity.

Construction payment management software, explained for Indian builders
Payment is where compliance is won or lost
TDS and retention are not optional niceties, they are obligations, and they both land at the moment of payment. A builder who pays on a spreadsheet is one wrong rate or one missed threshold away from a notice at return time. Construction payment management software moves that risk off a person’s memory and into a rule the software applies every time, so compliance happens as a by-product of paying, not as a separate scramble.
You can only pay what was approved
The strongest control in payments is upstream: a payment can only be made against a supplier invoice that was already 3-way matched and approved. So the common leak, a payment that quietly exceeds the bill or pays a bill nobody checked, simply cannot happen. The discipline of the purchase order and the goods receipt is carried all the way through to the money leaving.
Retention is a promise you must keep
Every rupee of retention held is money the builder owes the subcontractor later. Held on a spreadsheet, it is the kind of thing that gets forgotten, and a forgotten retention is both an unrecorded liability and a subcontractor who will not come back. Tracking retention per bill and flagging it for release when due turns a hidden liability into a managed one, and keeps the good subcontractors who make a project easy.
Cash flow you can actually plan
A builder’s biggest stress is cash timing. When payment dues, with their real net amounts after TDS and retention, are visible ahead, cash can be planned instead of fought week to week. You pay on time to protect your best suppliers, delay where you have agreed terms, and never get surprised by a large net you forgot was coming. The owner sees the real obligation, not a vague fear.
The books stay true without double entry
Most Indian builders keep their accounts in Tally. When a payment is recorded in one system and re-keyed into another, the two drift apart and month-end becomes reconciliation misery. Because payments export to Tally with their TDS and retention entries intact, the payment is captured once and the books reflect it, so the project record and the accounts tell the same story.
Payments inside the ERP, not a separate tool
A standalone payment or accounting tool records that money went out, but it does not know what the payment was for. It cannot tie the payout to the approved bill, the purchase order, the goods received or the project budget, so the payment is just a number, disconnected from the work it paid for. Reconciling the money against the job is then a manual, month-end chore.
In Cornerstone AI the payment is the last link of a connected chain on the project. It flows from an approved supplier invoice, carries TDS and retention, updates the vendor ledger, tags to the project budget, sits beside expenses, and exports to Tally. One record runs from order to delivery to bill to payment, which is what lets the GenAI chat answer “what is due, how much TDS this month, and whose retention is pending” with a real number instead of a guess.
How to choose construction payment management software
Look for payments made only from approved, matched invoices, TDS computed under 194C at the right rate, retention held and released on schedule, a clear net-payable breakdown, a live vendor ledger, cash-due visibility, and a clean Tally export. Most of all, look for payments that sit inside the project, not a separate tool, so a payout is tied to the bill, the order and the budget it belongs to. Cornerstone AI does all of this inside a full construction ERP. Explore the supplier invoice module payments flow from, the expense module alongside it, or the Cornerstone AI overview.
