Construction Material Requisition Software

On an Indian site the request for material is called an indent, and it is where every rupee of procurement begins. Construction material requisition software takes that indent from the site engineer, routes it for approval, then fulfils each line one of two ways: issued from the store if the stock is there, or turned into a purchase order if it is not. Cornerstone AI books the whole thing against the job, so the request a site makes and the cost it creates never drift apart. Short of something mid-pour? Ask the GenAI chat what is pending.

What a material requisition, or indent, actually is

Before the flow, the plain definition. A material requisition is the internal request a site raises for material, and on most Indian sites it goes by the name indent.

An indent names the items, the quantities and why they are needed, and it is raised by whoever is running the work, typically the site engineer. The key word is internal. Raising an indent orders nothing from a supplier and commits no money. It is a request, not a purchase.

What it does do is start the clock and create a record. The moment S. Kumar raises indent IND-0472 for steel on the OMR site, there is a timestamped request on file showing exactly what was asked for and by whom. From there it is approved, and then fulfilled. That order matters, because a request that skips approval and goes straight to a supplier is how sites quietly overspend.

Construction material requisition software exists to make that sequence automatic and honest: raise, approve, fulfil, and book to the job, every time, without a paper indent book that lives in a drawer at the site office.

02 How it works

The requisition flow: raise, approve, fulfil, book

The indent follows one clear path in Cornerstone AI. What changes job to job is only the last stretch, whether a line is issued from the store or sent out as a purchase.

1

Raise the indent

Site engineer requests items from the material master.

2

Route for approval

It moves up the chain by value, with a fast path for urgent.

3

Check the store

Each line is matched against current site stock.

4

Issue or purchase

In stock, issue it. Short, raise a PO for the balance.

5

Book to the job

Whatever moves posts to the project and its cost code.

As simple on site as a form on a phone

A site engineer does not need training to raise an indent. They open the project, pick items from the list, type the quantities, and send. The approval lands on the project manager’s phone. Nobody keys a document twice, nobody walks a paper chit to the office, and nothing gets ordered that was not approved first. The person raising the request only has to answer one honest question: what does the site need, and how much. The software handles the rest of the journey.

03 The idea that matters most

One indent, two ways to fulfil it

This is the part most teams get tangled up in. An approved requisition is not automatically a purchase. Each line is settled one of two ways, and the difference is the whole point of the module.

Issue from store

  • The material is already on site
  • It is issued from existing stock
  • Inventory drops, the job is charged
  • No supplier, no purchase order
  • This is a material issue requisition
  • Spends stock you already own

Raise a purchase

  • The material is not in stock
  • That line becomes a purchase order
  • It goes to a supplier to buy
  • Received later on a goods receipt
  • This is a purchase requisition
  • Spends money to acquire more

And usually it is both at once

Real indents rarely fall cleanly on one side. The OMR site asks for 5 MT of 12mm steel, but the store already holds 2 MT. So two of those tonnes are issued from stock straight away, and only the missing 3 MT become a purchase order. Cement and binding wire on the same indent are fully in stock, so they are simply issued. One request, three lines, two paths, and the site engineer never had to work out which was which. The software checked the store and split the indent for them.

04 A common mix-up

Requisition vs purchase order, and why the order is not reversible

People use the words as if they mean the same thing. They do not, and treating a requisition as if it were already a purchase order is how approvals get skipped.

A requisition is internal. It asks for material and binds the company to no one. A purchase order is external. It goes to a supplier and becomes a commitment the moment the supplier accepts it. The sequence only runs one way: a site requests, the request is approved, and then, if the material must be bought, it becomes a purchase order. You cannot have a clean purchase order that was never a requisition, because that is a purchase nobody formally asked for or signed off.

That is not red tape for its own sake. The requisition step is where a second pair of eyes can ask whether the quantity is right, whether the store already has it, and whether this spend belongs on this job. Skip it, and the first time anyone sees the request is on the supplier’s invoice, by which point the money is already gone. Keeping requisition and purchase order as distinct, ordered steps is what makes procurement controllable.

05 A real walkthrough

Follow one steel indent through the OMR site

A concrete example beats any description of construction material requisition software. Here is indent IND-0472 on the OMR Apartments job, from the slab crew asking for steel to the cost landing on the project.

09:14 · Raised

The slab crew needs steel, so an indent goes up

Block B is pouring a slab tomorrow and the bar benders need 12mm steel. S. Kumar opens the OMR project, picks STL-012 from the material master, enters 5 MT, adds 80 bags of cement and 40 kg of binding wire, and sends the indent. Total elapsed time, under two minutes, from his phone at the pour face.

On the indent: STL-012 5 MT, CEM-001 80 bags, BND-003 40 kg. Status: pending PM.

09:26 · Approved and split

The PM approves, and the store check splits the indent

The project manager sees the indent on her phone, checks the quantities against the pour, and approves in a tap. Cornerstone AI immediately checks the OMR store. Cement and binding wire are in stock, so both are marked to issue. Steel is short: the store holds 2 MT of the 5 needed. Two tonnes are issued, the missing three become a purchase requisition heading for a PO.

Split: issue 2 MT steel + 80 bags cement + 40 kg wire from store. Purchase 3 MT steel.

Next day · Booked

Everything lands on the OMR job cost

The store issue posts the same morning, so the slab crew has steel, cement and wire in hand. The 3 MT purchase order goes to the chosen supplier and is received the next day. Both the issue and the purchase book against OMR Block B, so the job cost reflects the real material, whether it came from stock or a supplier. Nobody reconciled a thing.

Result: slab poured on time, OMR Block B steel cost updated, indent closed and on record.

The question a busy PM actually asks

A project manager rarely wants to open a screen and scroll. They want to know, between site visits, what is waiting on them and what is about to hold up a pour. The GenAI chat answers exactly that in plain language. Ask “what is pending my approval?”, “which sites are short of cement?”, or “what did OMR indent this week” and it reads your live requisition data and replies in seconds.

So an approval does not sit for a day because nobody opened the app. The PM gets the question answered on their phone, approves the urgent one, and the slab pours on time. That is the difference between software people use and software that sits idle.

The GenAI chat is a core Cornerstone AI capability, implemented within the application. Examples shown are illustrative of how it answers.

07 What you get

What good construction material requisition software does

The capabilities that make construction material requisition software worth having turn a paper indent book into controlled, traceable requesting: from the master, through approval, to the store or a purchase, all on the job.

Raise from a phone

A site engineer picks items from the master and sends an indent in a minute.

Approval by value

Small indents clear fast, big ones route up the chain, all stamped.

Auto store check

Each line is matched to stock, so you know what to issue and what to buy.

Split fulfilment

Issue the lines in stock, raise a PO for the balance, from one indent.

Reorder-level alerts

An item under its threshold prompts an indent before you stock out.

Urgent fast path

A genuine emergency indent follows a controlled, quicker approval route.

Booked to the job

Every issue and purchase posts to the project and its cost code.

Full history

Every indent, who raised it, who approved it and how it was filled, on record.

08 Going deeper

The reorder level, or how a site stops running out mid-pour

The worst time to discover you are out of cement is halfway through a slab. The reorder level is the quiet mechanism that keeps that from happening.

A reorder level is a stock threshold set on an item in the material master. It is the point at which the item is low enough that it ought to be replenished before it runs out. Set binding wire’s reorder level at 20 kg, and when the store drops below that, Cornerstone AI prompts an indent for it rather than waiting for someone to notice the empty rack.

This matters most for the fast-moving consumables that nobody treats as important until they stop a crew: binding wire, cover blocks, shuttering oil, nails. A pour does not wait for a hardware run. By turning part of requisition into a reorder trigger, the module shifts a site from reacting to shortages to heading them off. The engineer still approves, but the software remembers to ask.

Why requesting material well is the start of controlling cost

Overspend usually starts at the indent

By the time a cost shows up on a supplier invoice, the decision that created it was made weeks earlier, when someone decided how much to ask for. Construction material requisition software puts the control where the decision is: a reviewer sees the indent, questions a quantity that looks high, and catches the over-order before it becomes a purchase. Fix spending at the request and you rarely have to fight it at the invoice.

Issuing from store is money most sites leave on the floor

A site with stock it has forgotten about will happily buy the same item again. Because every indent is checked against the store first, material that is already on site gets issued instead of re-purchased. Over a year of indents, that is a real saving and a real reduction in dead stock, and it happens automatically rather than depending on a store keeper’s memory of what is in the yard.

A clean approval trail protects everyone

When every indent carries who raised it, who approved it and when, a question about a purchase has a clear answer instead of a shrug. That protects the honest site engineer as much as it deters the dishonest one, because the record shows the request was authorised through the proper chain. The approval workflow is what makes that trail automatic rather than a signature nobody can read.

The urgent path, controlled rather than banned

Every site has genuine emergencies, a pump fails, a delivery falls through, and a slow approval would cost more than the risk it prevents. Banning urgent purchases just drives them off the books. A controlled urgent path keeps them on the record: faster approval, a required reason, and a flag that lets the owner see later how often urgency is really being invoked. Speed when it is needed, visibility always.

The indent is the first link in the procurement chain

Everything else in procurement follows from a request. No indent, no purchase order, no receipt, no invoice to pay. Because Cornerstone AI starts the chain here and carries the same item and project right through it, nothing downstream is re-keyed and nothing is orphaned. The request a site made and the invoice that eventually gets paid are two ends of one connected thread.

Requisition inside the ERP, not a chit book at the site office

On a lot of Indian sites the indent still lives in a carbon-copy book in a drawer. It works until someone needs to know what was requested last month, whether it was approved, and whether it was issued or bought, and then it is an afternoon of flipping pages. The chit book also cannot check the store, cannot route an approval, and cannot post anything to a job cost.

In Cornerstone AI the indent is a live record in the procurement chain. It picks items from the material master, draws from inventory when stock is there, flows into a purchase order when it is not, and books to the job cost either way. The GenAI chat then answers the exact question the chit book never could: what has this site requested, what is stuck, and what still needs buying.

What a site really needs: a one-minute way to raise an indent, an approval that moves by value, an automatic store check so stock gets used before it is re-bought, a controlled urgent path, reorder prompts for consumables, and every request tied to the job. A chit book gives none of that. The point is to get the whole request-to-cost thread inside the ERP.

These observations reflect widely documented procurement and stores practice. See PMI on the procurement process and the CPWD works and stores procedures for standard references. This page is general information, not procurement advice. Content was rephrased for clarity.

How to judge construction material requisition software

Look for an indent that raises in a minute from site, approvals that route by value with an urgent fast path, an automatic store check so stock is issued before it is re-purchased, clean split fulfilment between a store issue and a purchase order, reorder-level prompts for consumables, and every indent booked to the project and cost code. Above all, look for requisition that is the live first step of a connected procurement chain, not a form that sits apart from orders and stock. Cornerstone AI does all of this in a full construction ERP. Explore the purchase order module a purchase indent flows into, the inventory module a store issue draws from, or the Cornerstone AI overview.

12 Questions

Construction material requisition software FAQ

What is construction material requisition software?
It is software that handles the request a site makes for material, from the moment a site engineer raises an indent to the moment that material is either issued from the store or bought. The requisition routes through an approval chain, and each line is fulfilled one of two ways: pulled from existing store stock, or turned into a purchase order when stock is short. Cornerstone AI books every indent against the project, so the request stays tied to the job cost rather than floating in a separate register.
What is a material requisition, or indent, in construction?
A material requisition is the internal document a site uses to ask for material. On most Indian sites it is called an indent. It names the items, the quantities and the reason, and it is raised by whoever is running the work, usually the site engineer. It is internal: raising an indent does not order anything from a supplier or commit any money. It only starts the process and creates a record of who asked for what, and when.
What is the difference between a material requisition and a purchase order?
A requisition is an internal request that starts the buying process and binds the company to no one outside it. A purchase order is an external document that goes to a supplier and becomes binding once the supplier accepts it. In sequence, a site raises a requisition, it is approved, and only then, if the material has to be bought rather than issued from stock, does it become a purchase order. The requisition asks; the purchase order commits.
What are the two ways a requisition gets fulfilled?
Each line on an approved requisition is fulfilled one of two ways. If the material is already on site in the store, it is issued from stock, which reduces inventory and charges the job, with no purchase at all. If it is not in stock, or stock is short, that line is turned into a purchase order to a supplier. A single indent is often split: some lines issued from the store, the rest purchased. Cornerstone AI handles both paths from the one indent.
What is the difference between a material issue requisition and a purchase requisition?
A material issue requisition draws material that already exists in the store, so it moves stock internally and never touches a supplier. A purchase requisition asks to buy material that is not in stock, and it is what becomes a purchase order after approval. They are the two outcomes of the same request: one spends stock you already own, the other spends money to acquire more.
Can a requisition be raised automatically when stock runs low?
Yes. Each item can carry a reorder level, a stock threshold below which it should be replenished. When inventory for an item falls under that level, Cornerstone AI can prompt an indent for it, so a site does not discover it is out of binding wire or cement in the middle of a pour. The reorder level turns requisition from a purely manual chore into a safety net against stock-outs.
How does approval work on a material requisition?
Indents route through an approval chain that you set by value. A small indent might need only the project manager; a larger one might also need a purchase head or the owner. An urgent indent can follow a controlled fast path for genuine site emergencies. Every approval is stamped with who approved it and when, so there is a clean trail showing the request was authorised before anything was issued or bought.
Does each requisition tie back to the project and its budget?
Yes. An indent is always raised against a project, and often against a cost code, so whatever is issued or purchased from it posts to that job. That is what keeps material spend connected to the budget and the job cost rather than sitting in a stores register nobody reconciles. An owner can see what each site has been requesting and whether it lines up with the work actually happening.
Who builds and supports it?
It is built and supported by iStudio Technologies, a Chennai-based software company with 17+ years of experience delivering web, mobile and ERP software for Indian businesses.
